How it works

A morning in the yard, start to finish

Follow a day through a racing yard, from setting up the stable to the owner’s Friday update, and see where ThoroughTrack fits in. Where something isn’t built yet, we say so.

The day, step by step

From the box door to the owner’s inbox

  1. Day one Before first lot

Set up your stable and bring in the team

Status: Built, pre-release · horse profiles Coming for the pilot · team invitations

The Stable Admin, often the trainer, sets up the stable and adds the horses: breeding, yard, status and notes, all in one record.

Then invite the team and give each person a role. Trainers and yard managers see every horse; staff see only the horses assigned to them. Work across more than one yard? One login covers them all.

Pilot yards won’t start from a blank page: we plan to help bring existing records across from a CSV export.

  2. 07:10 First lot

Log the work at the gallops

Status: Built, pre-release · manual entry Coming for the pilot · GPS

Today: once the string pulls up, the rider or head lad logs each horse’s work by hand: type, time, distance, surface, going, whether it ate up, and notes. A few taps, saved on the phone straight away.

When GPS lands: the rider starts a recording before they go, the phone stays in a pocket, and ThoroughTrack records the route, distance, pace and fastest furlong, even with the screen locked. Recording is only ever started by the rider, is clearly shown in the app while it runs, with a notification on Android, and stops by itself after four hours. How location data will work

  3. 08:05 Between lots

    Quick-add health checks

Status: Built, pre-release · 6 record types Coming for the pilot · full health records

Back in the yard, take temperatures, weigh, note how much feed was eaten the night before or after work, and record heart rate, respiratory rate or a quick note. Each one takes a few taps at the box door, in °C or °F and kg or lb.

Farrier visits, medication and vaccinations, with due dates, are coming for the pilot.

  4. 08:50 Out of range

No signal? It waits, then syncs

    Status: Built, pre-release

Everything is saved on the phone first, encrypted, so nobody stands about on the gallops waiting for a signal bar.

When the phone is back in range, records upload by themselves. If one can’t sync, it isn’t quietly dropped: it’s kept on the phone under “Needs attention” so someone can look at it.

  5. 11:30 Back in the office

    Ask, compare, spot the flags

Status: Built, pre-release · question matcher Planned for launch · reports & comparisons

Type a question the way you’d say it: “Who is due a flu vaccine?” or “How does this horse compare to last year?” ThoroughTrack’s question matcher follows rules rather than an AI model, works offline, and opens the report you mean. If it doesn’t recognise the question, it shows examples it does understand.

The reports it opens are planned: gallop comparisons across horses, year-on-year, training breakdowns between weeks, and stable-wide flags when a temperature falls outside the range your yard sets or a horse leaves more of its feed than usual.

  6. Friday Owners

Owners get the week in a page

    Status: Planned for launch

At the end of the week, a stable-branded summary for each owner: the training, health notes, key gallops, photos and a word from the trainer. Send it by WhatsApp or email, or share a private link that expires and can be revoked at any time.

Owners will also be able to log in, read-only, to see their own horses and the reports you publish to them. What owners will see

Getting started

Joining the pilot

ThoroughTrack isn’t in the app stores yet. Before it is, a small number of racing yards will use it in real morning work. Here’s what joining involves.
  1. Tell us about your yard

Email hello@thoroughtrack.ie or use the pilot page. There’s no waiting list: the pilot is by invitation.

  2. A small field

We’re planning on two to five stables in Ireland and the UK, so each yard gets proper attention.

  3. Install the pilot build

Through Apple TestFlight on iPhone and iPad, or Google Play internal testing on Android. Not from the app stores, which come later.

  4. Set up and bring your records

Add your horses and your team. We plan to help bring existing records across from CSV, through a secure, encrypted process.

  5. Use it, and tell us straight

Use it in real morning work and tell us what works and what doesn’t. It’s pre-release, so expect changes between builds.

If your yard will use GPS. The yard is responsible for its riders’ location data: it records its lawful basis, tells its riders, and names a contact for questions. GPS is optional, and riders can still log work by hand. How location data works

Pricing. Pricing hasn’t been set, so we don’t list any. Questions about the pilot? Email hello@thoroughtrack.ie.

Questions

Questions from the yard

Does every rider need the app on the gallops?

Not for logging work by hand: anyone with access to the horse can record the lot afterwards, on the gallops or back in the yard. GPS recording, which is coming for the pilot, needs the phone with the rider, and the rider starts it themselves.

What happens to records made with no signal?

They’re saved on the phone first, encrypted, and upload automatically when the phone is back online. If a record can’t sync, the app keeps it and lists it under “Needs attention” rather than quietly dropping it. Offline sync is built, though not yet released, and is being checked on real devices.

Who in the yard can see what?

It depends on their role. The Stable Admin runs the stable and decides who has access to which horses. Trainers and yard managers see every horse; staff see only the horses assigned to them. Owners, once owner login arrives, will see only their own horses and the reports published to them. Team screens are coming for the pilot.

Can we fix a record that was entered wrongly?

Corrections are planned, and they’ll keep a visible revision history rather than overwriting the original. In today’s build, exercise and health records can be added but not yet corrected.

Is the plain-English search AI?

No. It’s a rule-based question matcher: no AI model, and it works offline. If it doesn’t recognise a question, it shows examples it does understand rather than guessing. The matcher is built, though not yet released; the reports it opens are planned for launch.

Will ThoroughTrack flag a horse that’s running a temperature?

That’s planned. Health alerts will flag a temperature outside the range your stable sets, or a horse leaving more of its feed than usual. No medical thresholds come built in, and ThoroughTrack doesn’t give veterinary advice: your yard decides the ranges.

Can our vet or farrier log in?

Not in the first release. Your own team will be able to record farrier visits, medication and vaccinations, which are coming for the pilot.

How much does it cost?

Pricing hasn’t been set, so there are no plans or prices to share. If you’d like to be considered for the pilot, see how to apply or email hello@thoroughtrack.ie.
